Privacy notice

Who we are

Clarc is a property inventory service operated by Clarc Technologies Ltd, a company registered in England and Wales under company number 17381847, with its registered office at Office 3e.04, The Barley Mow Centre, 10 Barley Mow Passage, London W4 4PH. For the personal data described in this notice, we are the data controller.

What we collect

We handle three kinds of personal data.

• People at inspected properties (usually tenants): your name, photographs of the property you live in (which can include personal belongings), voice recordings made during the inspection and their transcripts, meter serial numbers, and, if you sign a report, your typed name and the date and time you signed.
• Account holders (clerks and agents): your name, email address and the reports you create.
• Early-access prospects: the name, email address and any optional details (company, role, volume) you give us when you join the waitlist.

Why we use it and our lawful basis

We use inspection data (photographs, recordings, readings, signatures) to prepare and keep a property inventory report. Our lawful basis is legitimate interests: the landlord, agent and tenant all need an accurate, independent record of the property's condition. We only record what an inventory clerk would record, and you can object at any time (see your rights below).

We use account data to provide the service under our contract with the account holder.

We use waitlist details, with your consent, to tell you about early access. Every email includes an unsubscribe link and you can withdraw consent at any time.

How the report is produced

Clarc drafts inventory reports with software assistance: photographs and voice notes from the inspection are processed by our providers listed below to produce a first draft, which the clerk reviews and remains responsible for. Nothing about you is used to make automated decisions with legal or similarly significant effects.

Who we share it with

We use a small number of service providers as processors, each under a data processing agreement:

• Supabase: database and file storage for reports, photographs and recordings.
• Vercel: hosting for the Clarc application.
• Anthropic: processes inspection photographs and notes to help draft the report.
• OpenAI: transcribes inspection voice recordings.
• Resend: sends our emails (for example the waitlist welcome).

We do not sell personal data, and we do not share it with anyone else except the parties to the tenancy (the report itself is shared with the landlord, agent and tenant) or where the law requires.

International transfers

Some of our providers process data in the United States. Where data leaves the UK, the transfer is protected by the provider's data processing agreement incorporating the UK Addendum to the EU Standard Contractual Clauses or the UK Extension to the EU-US Data Privacy Framework, as applicable.

How long we keep it

Our retention periods: reports, photographs and signatures are kept for six years from completion (the limitation period for contract claims in the UK); voice recordings only as long as needed to produce the transcript; waitlist details until we launch, until you unsubscribe, or for two years after our last contact, whichever comes first.

We are completing the automated clean-up that enforces these periods. You can ask us to delete anything sooner at hello@clarc.co.uk.

If you unsubscribe from waitlist emails we stop contacting you and keep your details only so that we do not contact you again.

Your rights

You have the right to ask for a copy of your personal data, to have it corrected or deleted, to restrict or object to our use of it, and to data portability where it applies.

To exercise any of these rights, email hello@clarc.co.uk. We respond within one month.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (the ICO) at ico.org.uk.
